Summary/Objective
Oversee the $6 million operation at Symphony Hall and at Tanglewood, which includes negotiation and oversight of catering contracts, management of cafes and supper clubs, and sales and operational responsibility of all function space/tents. Sell and manage all Hall bookings and work with outside presenters on event operations. Manage the master calendar of Hall and Tanglewood events.
Job Description
- Generate $3,794,400 in revenue from food/beverage/event business including catered events at Symphony Hall and Tanglewood, the Café at Symphony Hall, the Pops kitchen, the bars at Symphony Hall, the Tanglewood Cafes and snack shops, the Highwood, and Seranak Supper Clubs, and the Tent Club.
- Oversee the booking and operation of more than 1,400 events.
- Negotiate and contract with caterers to maximize revenue and service to BSO patrons.
- Oversee all logistical and operational requirements for events, functions, and venue rentals, working with both vendors and staff and provide on-site management for events.
- Work with Caterer to update restaurants and concessions to current trends in the industry. Evaluate elements of patron experience including point of sale systems for providing menu information and ordering food.
- Coordinate opening and closing of Tanglewood, securing golf carts, florists, tent lighting, and organize all equipment related to events and F&B for the grounds.
- Oversee the Tent schedule at Tanglewood, maintain or decrease annual expenses of tents, secure all tent needs for the season, and coordinate with other departments to provide special request tenting needs throughout the grounds.
- Work with Boston & Tri-Town Health Department to coordinate inspections and maintain all food and beverage areas to secure licenses for the property.
- Work with promoters to rent Symphony Hall, Ozawa Hall and The Linde Center for Music and Learning.
- Generate contracts for Symphony Hall & Tanglewood venue rentals.
- Manage the Master Calendar for Symphony Hall & Tanglewood.
- Manage and train all department staff at Symphony Hall & Tanglewood to ensure the highest level of standards. Set and manage their work schedules based on current concert and event activity.
- Administer annual licenses and permits for Symphony Hall & Tanglewood to ensure all requirements and guidelines are met.
- Manage the budget for all areas of responsibility using sound accounting practices and procedures.
- Prepare reports; analyze data to make recommendations and improve profitability of Event Services activities at Tanglewood.
QUALIFICATIONS:
- Bachelor’s Degree is required; Master’s Degree preferred.
- Working knowledge of city, state, and federal regulations on Food and Alcohol Service and Public Assembly, ADA requirements, and Food & Beverage Operations from retail concessions to fine dining, promotion, and marketing
- Sales experience related to high volume and large capacity venues.
- Knowledge of current artists and their repertoire.
- Minimum of 6-8 years’ experience in production of concerts and special events
- Ability to handle multiple projects simultaneously.
- Ability to coordinate with other staffers at multiple levels to deliver projects on deadline.
- Ability to work in a fast paced and occasionally unpredictable environment.
- Excellent computer skills.
